SAY GOODBYE TO PAPER, SHAREPOINT, ONEDRIVE AND HYPER-LINKED SPREADSHEETS FOREVER.
If your current system for managing documents and policies at work feels like a complicated web of solutions held together with email - read on!
If you’ve tried other document management solutions but just don’t have the time to reconfigure a generic system to work for you (and wonder, ‘why is it so clunky and difficult to work with?!’). We hear you!
Your policies, SOPs, clinical guidelines and documentation underpin so much of the great clinical governance work your organisation is doing; they deserve more than a one-way trip to the Document Graveyard.
There has to be a better way to manage it all, right?
Introducing MEG Docs…
MEG Docs is the document management component of MEG’s digital QMS. It is healthcare-specific and built to simplify tracking, managing and storing policies, operating procedures, standards, clinical guidelines and relevant documents; verify and record version modifications with fast collaboration.
We know busy healthcare professionals don’t have time to configure the setup and workflow of generic systems or integrate them with other tools. Our team will prepare and set everything up ready for you - all you have to do is start uploading documents!
Flexible Folder Configuration
MEG Docs was designed to seamlessly fit the way you work - not the other way around. Replicate your current file and folder structure in MEG Docs, or work with our Product team to systematically design the perfect folder arrangement for your organisation from scratch:
The ‘Editor’ interface gives you complete control over your folders:
easily add, remove or edit folders or subfolders;
give access to individual users, teams, departments or make documents/folders ‘open access’
select from a wide variety of access/edit permissions
set Review Intervals & Allocate Reviewers and Contributors
MEG Docs integrates with the Calendar scheduling tool to ensure document or policy reviews are never forgotten. Set regular review intervals, and nominate a Reviewer and any Contributors at the point of upload.
Link forms in MEG Docs with other modules such as audit and Incident Reporting for automated updating
Another really useful feature in MEG Docs is the ability to tag a group of forms, SOPs and policies around a common grouping e.g. ‘Covid-19’ or a specific accreditation standard e.g. JCI’s IPSG
This enables managers to quickly identify all documentation relevant to that tag across the entire MEG quality management system e.g. all Covid-related incident report forms, audit tools, risk assessments forms etc.
It also means any forms (incidents reporting, audit tools, risk assessments etc.) that are updated in MEG Docs - for example, due to recent policy or accreditation standard change - can also be automatically updated throughout MEG’s QMS system, saving you lots of time!
VERSION control & comparison
Version control in MEG Docs is simple to manage: upload and collaborate on new draft policies or documents, gain a full audit trail of suggestions and revisions, and update accepted final versions in real-time, ensuring everyone is always working off the correct and most recent version.
If you have ‘Reviewer’ permission status, MEG Docs enables you to view the ‘Proposed’ version before accepting and publishing. The ‘Compare’ tab allows the contents of two different versions of the same document to be simultaneously viewed side-by-side:
The ‘Differences’ tab allows the Reviewer to easily check what modifications were made to the document being viewed. Any text differences/changes introduced from one version to another are visually highlighted in colour: green representing text that has been added, red representing text that has been deleted.
Collaboration with others is enabled via the ‘Comments’ section (available on all tab views); it’s a centralised area to record clarifications and discussion between Reviewers and all Contributors prior to accepting the newest version. No more endless emails chains!
Easy access to documents on any device
Quickly find the documents you need by entering keywords or titles into the search box. Curate your own private ‘Bookmarks’ to shortcut access to frequently used documents.
MEG’s Document Management system looks great on any device - including mobile devices too - so you can put important reference material (and ensure a single source of knowledge) directly into the hands of clinical staff exactly when they need it:
